Import customers (csv)

RT provides the ability to batch import customers using a CSV formatted file. This allows you to use an external tool such as Microsoft Excel to create a big list of customers and associated information without being restricted by the built in data validation mechanisms that RT has to assist in reducing data errors. However, this puts the responsibility completely in your hands and you should double, no triple, check all data before initiating this process.

File Format

The file should be formatted so that the first row contains the column names and the following rows contains the associated data for each column. Each row (starting at row two) whould be a single customer. If a duplicate name of a customer is encountered, it will not be imported. Address, if included, must be complete as this is validated upon import. If not included or invalid, the address will be left blank.

Fields/Columns

The following columns are recognized:

  • CustID
  • Customer / Sponsor / Name
  • Billing Name
  • Contact
  • Address
  • City
  • State
  • Postal / Zip Code
  • Voice / Phone / Telephone
  • Fax
  • Email
  • Status - Recognized values are: Active, Inactive, Yes and No.
  • Agency (A)
  • Sales Person (A) - Format of names needs to match RT configuration for formatting of sales people names.
  • Primary Conflict / Conflict (A)
  • Secondary Conflict (A)
  • Revenue Source (A)
  • Revenue Type (A)
  • Billing Cycle - Recognized values are: Calendar, Broadcast, Weekly, End of Schedule and EOS.
  • Spot Type (A)
  • Separation Type - Recognized values are: Minute, Break.
  • Separation Amount - Value must be numeric only.
  • Credit Policy (A)
  • Invoice Type - Recognized values are: Detail, Detail Affidavit, Detail Notarized Affidavit, Summary, Summary Affidavit, Summary Notarized Affidavit, Times, Times Affidavit, Times Notarized Affidavit, Times/Rates, Times/Rates Affidavit, Times/Rates Notarized Affidavit, Co-Op Notarized Affidavit, Co-Op and CoOp.

Some of the above columns, there are multiple words that can be used. Only one of these words per bullet point can be used; otherwise results are unknown and can be very undesired. The columns ending in (A) are entities that will automatically be created if they do not already exist in RT settings.

It is critical that this file is verified prior to import; otherwise, the result may not be what was desired.
